NextBridge School Leader Diary
Important note: This diary is a general good-practice planner. It is not issued by, linked to or endorsed by CBSE, any state board or any government body, and using it does not lead to affiliation, approval or any inspection result. Board dates and rules change every year, so always check the current circular on the board's official website before acting.
Daily tasks: Monday to Saturday
16 time-slotted task cards a day. Tap any card for its purpose, steps, points, checks, records and expected outcome. Timings assume a school day of about 7:30 AM to 3:30 PM; shift the slots to your timings, as the order matters more than the clock. Mark three “must do” cards (★) each morning and carry the rest forward.
Monday: Plan and launch the week
Focus: set the week's academic targets, check plans and get every team moving in the same direction.
Tuesday: Teaching quality and student learning
Focus: observe teaching, check student work and support learners who are falling behind.
Wednesday: Operations, safety and records
Focus: the campus, the office, stores and the registers that keep the school running.
Thursday: Assessment, data and student support
Focus: tests, marks, exam planning, counselling and career guidance.
Friday: Parents, finance, compliance and communication
Focus: money, rules, committees and how the school talks to its community.
Month-wise plans: April to March
How to read this: each month has a theme, a must-do list (each item can also be a clickable card with a one-line "how"), and a board and compliance box. Items marked [CBSE] apply to CBSE-affiliated schools; state-board schools should follow their own board's calendar. Exact dates change every year — check the current circular. Gate, arrival and campus opening round
Purpose
Make sure children arrive into a safe, supervised and ready campus, and that problems are caught before classes begin.
Steps
- Stand at or near the main gate for the first 10 minutes of arrival.
- Confirm the gate guard is at post, the visitor register is open on the desk and staff on gate duty are present.
- Watch bus and van drop-off: buses stop inside the marked area, attendants help small children, no child crosses traffic alone.
- Walk one short loop: reception, ground-floor corridors, toilets, drinking water point.
- Note anything broken, dirty or unsafe and hand it to the estate in-charge before 8:00 AM.
Points / agenda
Late buses, missing duty staff, unknown adults near the gate, any child who looks unwell or upset.
What to check
Gate log open and filled; CCTV monitor on; first-aid room unlocked; toilets clean and stocked; water point working.
Records to update
Gate duty chart (tick present / absent); maintenance request slip; transport late-arrival note.
Expected outcome
Campus opens with every duty point covered and no open safety issue at the start of the day.
Morning assembly
Purpose
Set the tone of the day, share key messages and build student voice.
Steps
- Check the assembly plan for the day: class or house conducting, theme, thought, news, any special item.
- Reach the assembly ground 2 minutes early; make sure the sound system works.
- Keep your own message to 2–3 minutes: one value, one reminder, one appreciation.
- Watch lines for uniform, posture and any child who looks unwell.
- After assembly, release classes in order so corridors stay calm.
Points / agenda
Today's special day (if any), achievements to appreciate, safety or discipline reminders, upcoming events.
What to check
Students who did not attend assembly; staff present on assembly duty; quality of the student-led items.
Records to update
Assembly register (date, class/house, theme, special mention).
Expected outcome
A short, purposeful assembly that ends on time, with at least one student recognised.
Attendance and day readiness check
Purpose
Know who is in school and make sure every class has a teacher from the first period.
Steps
- Take the staff attendance summary from the front office (present, on leave, late).
- Approve the substitution list made by the timetable in-charge; make sure no class is left unattended.
- Look at the student attendance summary once class teachers have marked it.
- Ask the front office to call parents of children absent without information, especially those absent 3 days in a row.
- Check the day's events and visitors so nothing surprises you later.
Points / agenda
Long absentees, frequent latecomers (staff and students), classes needing a substitute.
What to check
Every class marked by 8:30 AM; substitution list displayed in the staff room; ERP or register entries match.
Records to update
Staff attendance register (signature); substitution register; absentee call log.
Expected outcome
Every class covered, every unexplained absence followed up the same morning.
Dispersal, day close and tomorrow's top three
Purpose
Send every child home safely and close the day with a clear plan for tomorrow.
Steps
- Be visible during dispersal for at least 10 minutes: bus line, parent pick-up point, main gate.
- Make sure small children are handed only to listed parents or authorised persons.
- Confirm with the transport in-charge that all buses have left with attendants and a head count.
- Sign letters, leave forms and files waiting on your desk.
- Write tomorrow's top three tasks (★) in the diary and note any open issue from today.
Points / agenda
Children not picked up, bus delays, any incident from the day that needs a parent call tonight.
What to check
Pick-up authorisation list in use; dispersal register signed; classrooms locked; fans and lights off.
Records to update
Dispersal and bus departure register; incident register (if anything happened); your daily diary page.
Expected outcome
Every child accounted for, desk cleared, and tomorrow's priorities fixed before you leave.
Weekly leadership huddle
Purpose
Agree the week's priorities with the people who will deliver them.
Steps
- Invite vice principal, coordinators, exam in-charge, admin head (and HODs if possible). Keep it to 25 minutes, standing or around one table.
- Start with last week's action list: done, not done, why.
- Share this week's calendar: tests, events, visitors, deadlines.
- Give each person one or two clear targets with a day of completion.
- Close by reading back the action list aloud.
Points / agenda
- Pending actions from last week (2 min each owner).
- This week's academic target (for example, "all Class 9 notebooks checked by Thursday").
- Board or department circulars with deadlines this week.
- Events, PTMs, visitors and duty allocation.
- Any student or staff concern needing a decision.
- One appreciation for a team member.
What to prepare
Last week's action list, this week's school calendar, open circular list (see MON-06).
What to check
Every action has one owner and one date; no task is "everyone's job".
Records to update
Leadership meeting minutes book (date, attendees, decisions, owner, deadline).
Expected outcome
A written action list for the week that every leader has seen and agreed.
Lesson plan and teacher diary check
Purpose
Make sure teaching this week is planned, linked to learning outcomes and not just "next chapter".
Steps
- Pick 5–6 teachers this week (rotate so every teacher is covered each month).
- Read the plan for the coming week: topic, learning outcome, activity, check for understanding, homework.
- Compare with the syllabus split for the month.
- Write one strength and one suggestion on the plan or in the feedback sheet.
- Note teachers who need support and link them to MON-04 or SAT-03.
What to check
Clear learning outcome per lesson; at least one activity or discussion, not only lecture; assessment step written; plan matches the timetable periods.
Records to update
Lesson plan check register (teacher, date, remark, signature); teacher support list.
Expected outcome
Feedback given to 5–6 teachers; planning gaps known by Monday morning, not Friday.
Classroom walk-through
Purpose
See real teaching and learning, show presence and spot support needs early.
Steps
- Visit 3–4 rooms for 8–10 minutes each; enter quietly, do not interrupt.
- Sit at the back and watch students more than the teacher.
- Look at the board, one or two notebooks and the students' faces.
- Ask one student, "What are you learning today and why?"
- Give the teacher a 2-minute feedback the same day: one thing that worked, one thing to try.
What to check
Lesson started on time; aim shared; most students engaged; questions go beyond recall; classroom clean and displays current; teaching aids or digital tools used well.
Records to update
Walk-through form (date, class, teacher, focus, strength, suggestion); observation tracker so every teacher is seen at least once a month.
Expected outcome
3–4 short observations logged, with feedback delivered within 24 hours.
Syllabus progress check with HODs
Purpose
Catch slow pacing early so no class rushes the syllabus before exams.
Steps
- Ask each HOD to bring a one-page progress sheet: class, section, planned chapters, completed chapters.
- Mark each section green (on track), amber (1 week behind) or red (more than 2 weeks behind).
- For red sections, agree a recovery plan: extra period, combined revision, or teacher support.
- Confirm upcoming tests match what has actually been taught.
Points / agenda
Sections behind plan; teacher absences that caused delay; practical and project work status; resources needed.
What to check
Progress sheet matches teacher diaries and student notebooks (spot-check one).
Records to update
Syllabus coverage tracker (per class and subject); HOD meeting notes.
Expected outcome
Every red section has a written recovery plan with a date.
Timetable and teacher load spot-check
Purpose
Keep the timetable fair, complete and balanced.
Steps
- Open the master timetable and the teacher-wise timetable.
- Check 2–3 teachers for overload (too many periods or no break) and underload.
- Make sure library, sports, art, life skills and remedial periods are actually held, not replaced by main subjects.
- Check that substitution load from last week was shared fairly.
What to check
No class without a teacher for any period; no teacher with back-to-back periods all day; co-curricular periods respected.
Records to update
Timetable change log; substitution summary.
Expected outcome
Any imbalance corrected before Tuesday; changes shared with staff in writing.
Circular and deadline tracker review
Purpose
Make sure no board, state or government instruction is missed.
Steps
- Open the board's official circular page and the state education department page.
- Add each new circular to the circular log (template T5): number, date, subject, action needed, owner, deadline.
- Forward the circular to the owner with a short instruction.
- Check last week's open items: done, pending, overdue.
What to check
Portal deadlines (registration, LOC, data updates, uploads); training or event participation requests; safety and child protection instructions.
Records to update
Circular log (T5); staff circular file with signatures of staff who were informed.
Expected outcome
Every circular has an owner and a date; nothing in the log is overdue without a reason.
Last week's test data review
Purpose
Use marks and test results to plan re-teaching, not just to fill report cards.
Steps
- Ask the exam in-charge for last week's class test or quiz summary.
- Look at the class average, the lowest 10–15% of students and the questions most students got wrong.
- List concepts that need re-teaching and the students who need remedial support.
- Share the list with subject teachers and the remedial coordinator.
What to check
Marks entered on time; tests checked within 3 working days; same students repeating in the weak list.
Records to update
Remedial student list; re-teaching log.
Expected outcome
A named list of students and concepts for this week's remedial classes.
Lunch round and canteen check
Purpose
Keep break time safe and food hygienic.
Steps
- Walk the playground, corridors and canteen during the break.
- Check duty teachers are at their points.
- In the canteen, check cleanliness, covered food, expiry dates and handwashing area.
- Notice children sitting alone or being teased; pass names to the counsellor quietly.
What to check
Junk food rules followed; drinking water clean; dustbins in use; no unsafe play near stairs or walls.
Records to update
Break duty register; canteen inspection sheet.
Expected outcome
A calm break with every duty point covered and any hygiene issue reported the same day.
Coordinator diary and discipline log review
Purpose
